Terms and Conditions
These terms and conditions apply to all transactions conducted in association with the booking and hire of Pre-Pitched Bellows Glamping and Events Bell Tents. Please read them carefully before placing your order. Please note that in these terms and conditions “you”, “your”, “yours”, “yourself”, “purchaser” and “user” are references to any person hiring a Pre-Pitched Bellows Glamping and Events Bell Tent and “we”, “our”, “us” and “ours” are references to Bellows Glamping and Events and “the site”, “the event”, “the site manager” and “the organiser” refers the third party hosting your tent.
A) HIRING TERMS AND CONDITIONS:
Terms & Conditions For The hire of Pre-Pitched Bellows Glamping and Events Bell Tents. We have specific terms related to certain types of hire and these are detailed in A7), A8), A9) and A10). All other terms apply to all types of booking.
A1)By renting a Pre-Pitched Bellows Glamping and Events Bell tent you are agreeing to and will be bound by these terms and conditions:
A2) When booking a quotation email will be sent to you by us (info@bellowsglamping.co.uk) detailing the dates, location, type of booking package, number of tents, number of people per tent and price. A 25% non-refundable deposit of the total order value (minimum) is due when booking, unless the booking date is less than 8 weeks away, in which case full payment is required. The order is deemed accepted by you upon receipt of deposit/balance funds by us at which point a final order confirmation email will be sent to you by us.
A3) Payment for the balance of the order value, plus damages deposit (see B1.viii) is to be made in full by the date specified in your quotation. Failure to make this payment will result in the order being cancelled.
Payment can be made via credit/debit card, PayPal or Bank Transfer (except for damages deposit).
Please note that WE DO NOT ACCEPT CHEQUES OR CASH PAYMENTS.
A4.a) All tickets and/or fees required by the site or the event must be booked and purchased separately and are not included unless specifically stated in your quotation. It is your responsibility to confirm with the site/venue that they will allow the erection of bell tents. The deposit is non-refundable, so if after booking you advise us the venue will not allow the erection of a third party tent we will not be able to give you a refund on your deposit.
A4.b) If booking at a Bellows Glamping and Events affiliated site, all sites provide drinking water, ablutions and cleaning facilities. It is each sites responsibility to maintain their facilities, so if you are not happy with the state/quality of facilities at a site, please speak to the site wardens.
For bookings at a third party site we can take no responsibility for the type and quality of facilities provided by the third party site.
A5) The number of campers per tent is as per your order confirmation. No additional campers are permitted per tent unless by prior arrangement with us.
A6.a) Your tent will be erected and furnished ready for your arrival, it is important you confirm an estimated time of arrival / set up by time / set up from time and departure / take down from time / take down by time, as where we have multiple bookings we need to plan all set up times. Please plan your arrival/departure in accordance with the venue/campsites rules.
A6.b) For larger bookings (6 tents and above) we need to allow 45 minutes per tent. Generally we will be quicker than 45 minutes, but that is the contingency we need to plan for, meaning a large set up could last over 12 hours. In those instances, we may ask to access the site the day before you wish to use the tents in order to ensure everything is ready for your event.
A6.c) The items supplied in the tent will be as per your package, although on occasion we may need to supply different types of items. For example: wooden director chairs or metal folding chairs, cool boxes or cool bags, teacups or mugs, radio or speaker. All items supplied will be fit for purpose.
A7) Camping and wedding/event bookings of 3 tents or less
A7.a) Upon arrival we will aim to greet you and show you to the tents. We will ask you or a nominated person to confirm receipt of the tent(s) and its/their contents. During the hire period the tent(s) will be your sole responsibility. When cooking equipment is provided we will provide instructions and if possible demonstrations for use and storage of gas burners.
Where we are unable to greet you, the tents will be secured with a padlock and keys left with the site warden/site contact. Upon arrival you will need to go to the site reception/site contact and they will then give you the key. As we will be unable to show you the tent we will leave a copy of the tents inventory and all necessary instructions for you inside the tent. We ask that you check and sign the inventory as soon as possible and if anything is not listed or missing please contact us (contact numbers will be included on the inventory sheet). Please also contact us if you are unclear on the instructions of any equipment provided.
A7.b) Upon departure we will aim to be on site to check you out. We will ask you or a nominated person to wait on site until tents and their contents have been checked. If any damages / missing items are discovered we will notify you/your nominated person and email details of the charges incurred at the earliest opportunity.
Where we are unable to meet you at departure, please ensure the tents are secured with the padlock and keys left with the site warden/site contact. As we will be unable to check the tent with you we will email details of any damages / missing items and the charges incurred at the earliest opportunity. For more details on damages see A11).
A8) Camping and Wedding/event bookings of more than 3 tents ~
A8.a) We will ask you or a nominated person to confirm receipt of the tents and their contents. You/your nominated person will need to be onsite at the end of set up so you/they can check the tents contents. Once we know set up from/set up by times we can provide an estimated time for completion, as we do not want you/your nominated person to be unnecessarily inconvenienced.
The hire period begins from when you/your nominated person has inspected the tents and the tents will be your sole responsibility until we arrive to take them down. If cooking equipment is provided we will provide instructions and demonstrations for use and storage of gas burners to you/your nominated person.
A8.b) Upon departure we will meet you/your nominated person on site. We will ask you or a nominated person to wait on site until tents and their contents have been checked. If any damages / missing items are discovered we will notify you/your nominated person and email details of the charges incurred at the earliest opportunity. For more details on damages see A11).
A8.c) If you wish a nominated person to check the tents on your behalf then you must give us their full name and that person must show us photographic identification at arrival/set-up and departure/take down (passport/driving licence) in order to confirm they are your nominated person.
A9) Wedding/event bookings of 10 tents or more – terms as per A8), however we must see photographic identification and a proof of address from the main hirer before the booking date.
A10) Hen Party bookings
A10.a) Upon arrival we will aim to greet you and show you to the tents. We will ask the lead booker or a nominated person to confirm receipt of the tents and their contents. During the hire period the tent will be your sole responsibility. When cooking equipment is provided we will provide instructions and if possible demonstrations for use and storage of gas burners.
A10.b) Upon departure we will meet you/your nominated person on site. We will ask you or a nominated person to wait on site until tents and their contents have been checked. If any damages / missing items are discovered we will notify you/your nominated person and email details of the charges incurred at the earliest opportunity. For more details on damages see A11).
A10.c) If you wish a nominated person to check the tents on your behalf then you must give us their full name and that person must show us photographic identification (passport/driving licence) in order to confirm they are your nominated person.A11) A damages deposit will be required for your stay, this will be advised to you in the quotation email/confirmation email, although will be no more that £100.00 per tent. This damages deposit will be reimbursed to you within 3 working days after departure, following our approval at check-out. Should any damages be found you will be advised at check-out / the earliest opportunity and the value of these clearly detailed and explained. The damages deposit will then be returned, less the value required by us to repair/replace the damaged items.
Damages would include, but not be limited to: hole in tent, damage to tent poles, ripped/snapped/torn/severely stained items, any missing items that were listed on the inventory or any other damage caused by the booking party that was not present at time of pitching and that was deemed not the event of natural causes. We also expect the tents to be left in a reasonable condition and all of your waste removed.
Charges for damages are based on the current UK retail cost of replacing the items, plus administrative costs. Excessive cleaning costs will be calculated depending on the extent of staining. Please do not attempt to replace any damages items yourself. Although we appreciate you trying, we cannot guarantee the items you may purchase as replacements are in accordance with our stock. If you do buy a replacement of any broken/missing equipment we will advise you to keep the items and a damages charge will be incurred.
If the extent of damage incurred exceeds the damages paid then you will be liable for the full replacement/repair costs and will be invoiced accordingly.
Damages deposits are payable via credit/debit cards or PayPal. NOT via Bank Transfer, Cheque or cash.
Failure to pay your damages deposit invoice before the booking commences will result in the tents not being pitched and no refunds will be given.
A12) When staying at a campsite/third party venue you must follow the campsite/venue rules. If your behaviour results in you being asked to leave the site you will receive no refunds and your full damages deposit will be retained.
A13) Smoking is not allowed inside the tent.
A14) Sites/venues may allow pets, however no pets are allowed to stay in tents
A15) You have the right to cancel, although please note the deposits are non-refundable and apply per tent, however they may be transferred to an alternative booking upon request (however that cannot be guaranteed). If payment was made in full then 25% will be retained as deposit.
A16)i)For bookings of 3 or more tents,if cancellation is made less than 8 weeks before the booking date, a maximum of 75% of the total order value fee will also be retained, subject to us being able to re-sell the cancelled tents. If you fail to show up for your booking or cancel within 1 week of arrival, no refunds will be given.
A16)ii) For bookings of less than 3 tents, if cancellation is made less than 4 weeks before the booking date, a maximum of 50% of the total order value fee will also be retained, subject to us being able to re-sell the cancelled tents. If you fail to show up for your booking or cancel within 3 working days of arrival, no refunds will be given.
A17) Neither Bellows Glamping and Events nor campsites/venues will be held responsible for any loss or damages incurred by the use or misuse of the tent you have rented, howsoever caused.
A18) Bellows Glamping and Events reserve the right to refuse to pitch tents in the event of extreme weather or unsuitable ground conditions. Every effort will be made to ensure the tents are pitched, but if conditions are deemed unsafe we will advise you that we cannot pitch at the earliest opportunity. In the event of non-delivery due to extreme weather circumstances we will refund a minimum 50% of the booking fee, less travel costs.
A19) You are responsible for the tent and all contents for the duration of the rental period and until checking out on the day of departure. Where the size of the set up requires us to set up / take down the day before/after the booking dates, you will be responsible for the tents and their contents from when set up is complete and until removal has started. If we are required to pitch earlier/take down later and deem the tents not to be safe left on the site unaccompanied, we may ask for you or a person you nominate to stay on site until the booking commences. We also reserve the right to ask for photographic identification and/or proof of address from the booker to ensure we have your details correct in the event of any large scale damages. Failure to provide these details if asked will result in the tents being removed and the booking cancelled with no refund.
A20) Where we provide fire pits: i. you must appoint a single person, not under the influence of alcohol or drugs, who will be responsible for the safe use of the fire, and extinguishing it fully before the area is vacated at the end of the booking.
ii. the client will not use the fire pit anywhere other than where placed by us and only fire pits or stoves supplied by us must be used.
SUMMARY OF FIXED DAMAGES CHARGES:
Failure to remove your waste will result in a £10.00 charge per tent that contains waste.
Any fire pits provided must be emptied, otherwise you will incur a £5.00 charge from your damages deposit per unemptied fire pit.
If evidence of smoking or drug use inside the tent is discovered we will retain your full damages deposit.
Bodily fluids discovered in the tent will, depending on the extent, be a minimum of £20.00 per tent, up to a maximum of the full deposit amount.
B) GENERAL TERMS AND CONDITIONS

B2) Links to other sites: Please be aware that our site may include links to other web sites. We are not responsible for their privacy policies or procedures or for the content of these linked web sites.
B3) Cookies: Most web browsers automatically accept cookies but you do not have to accept them. You should read the help information within your browser to see how you can set it to notify you when you receive one. This will give you the opportunity to decide whether or not to accept it.
B4) Information used when placing an order: Any information you provide when placing an order is held in the strictest confidence. When placing an order you are required to provide us with the following personal information: name, billing/delivery address, email address for confirmation of the order and a telephone contact number. This information is used for delivery, billing purposes and to fulfil your order. Your personal details will never be passed to a third party without your express consent. Where photographic identification is requested we will take a photo of the identification and delete from our systems once the booking is complete and any damages charges have been settled.
B5) Exclusions of Liability: We will not be liable for any loss of income, loss of profits, loss of markets, loss of reputation, loss of customers, loss of use, loss of an opportunity even if we had knowledge that such damages or loss might arise or for any indirect, incidental, special or consequential damages or loss howsoever arising including without limitation breach of contract, negligence, wilful act or default. We are not liable if we do not fulfil any obligations towards you at all as a result of:
Circumstances beyond our control such as (but not limited to):
Forces of nature including earthquakes, cyclones, storms, flooding, fire, disease, fog, snow or frost; Force majeure including (but not limited to) war, accidents, acts of public enemies, strikes, embargoes, perils of the air, local disputes or civil commotions; National or local disruptions in air or ground transportation networks and mechanical problems to modes of transport or machinery; Latent defects or inherent vice in the contents of the shipment; criminal acts of third parties such as theft and arson.
B6) Prices listed on the website are for tent hire only and do not include any applicable site/venue fees.
Tent hire prices are for hire in the following Midlands counties – Derbyshire, Nottinghamshire, Leicestershire, Staffordshire, Warwickshire and West Midlands, plus the area of the Peak District national park. For requests outside of these areas an additional charge may be added to cover the additional transport costs/time. Where an address is at the extremities of the midlands counties listed above and is for less than 3 tents we may still charge for transport costs (if the journey exceeds 1 hour from our base or is more than 100 miles via a route planner).
